In accordance with the Regulation (EU) 2018/1725 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies, and on the free movement of such data (Regulation), the All-Atlantic2021 conference webpage collects your personal information only to the extent necessary to fulfil a precise purpose related to our tasks. This document describes the privacy policy that applies to all data gathered and processed through the All-Atlantic2021 web portal.
1 – Why do we collect your personal data?
The All-Atlantic2021 EU-funded project supports the organisation of the All-Atlantic R&I for a Sustainable Ocean: Ministerial High-Level & Stakeholders Conference, under the Portuguese Presidency of European Union Council, which will take place on 3-4 of June 2021. In scope the All-Atlantic2021 project, the Work Package dedicated to the communication and dissemination activities (WP5) aims to strategically raise participants’ awareness of the importance of the All-Atlantic2021 Conference in strengthening the All-Atlantic marine research & innovation community cooperation. This website will be the focal information point of the event; therefore will display information such as its objective, programme, speakers, venue, registration form and the conference’s main outcomes, including the All-Atlantic Pledging Platform.
In this context, the website includes a registration form that allows the stakeholders participation in this event. The participation in the conference is ensured by the voluntary registration of the participants through this form. The purpose of this processing operation is to collect the name, surname, e-mail address, and other relevant professional data needed to confirm the stakeholder registration and, therefore, to notify on any update and access to the event.
2 – Who is responsible for this process?
The data controller is the Fundo Regional da Ciência e Tecnologia (FRCT), responsible for Communication and Dissemination activities of the All-Atlantic2021 project and also coordinator of the All-Atlantic2021 project.
3 – What is the legal basis to collect your data?
This processing activity, based on Article 5(1) (a) of the Regulation, is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the All-Atlantic2021 project by the following legal acts:
European Commission granting of the CSA project: All-Atlantic R&I for a Sustainable Ocean: High-Level & Stakeholder Conference, with the acronym All-Atlantic2021, selected under the H2020-SC2-IBA-ALLATLANTIC-2020 call, Grant Agreement No. 101035793, running from January 1st 2021, until September 30th 2021;
- All-Atlantic2021 Description of the Action;
- All-Atlantic2021 Work Package: “Event Logistics”;
- All-Atlantic2021 Work Package: “Communication and Dissemination”.
4 – Which personal data are collected?
The personal data collected through the online registration form includes the first name, surname, job title, name of organisation, organization type, country, e-mail address.
5 – Who will have access to your personal data?
The data and information gathered through the online registration form is accessible to Fundo Regional da Ciência e Tecnologia (FRCT), which is the owner and processor of this data and only passes this data to third parties for strictly necessary purposes as described in section 8.

6 – Who will have access to your personal data?
The data and information gathered through the online registration form is accessible to Fundo Regional da Ciência e Tecnologia (FRCT), which is the owner and processor of this data and only passes this data to third parties for strictly necessary purposes as described in section 8.

7 – Your right as a data subject
A data subject is the natural person for whom personal data is processed. Each person has the right to be informed on what personal data is being processed and to have access to his or her personal data.

- And/or to correct or update this information;
- You may also ask your personal information to be deleted completely (your right to be forgotten). Simply send us an e-mail at info.frct@azores.gov.pt with your request, and we will act and reply you as soon as possible. Note that the GDPR stipulates that each request made must be logged.

8 – Disclosures of personal information
We take care to allow access to personal information only to those who require such access to perform their tasks and duties, and to third parties who have a legitimate purpose for accessing it. Whenever we permit a third party to access personal information, we will implement appropriate measures to ensure the information is used in a manner consistent with this policy and that the security and confidentiality of the information is maintained.

We may share your personal information with the All-Atlantic2021 consortium in order to support us in a specific task or initiative.
› Transfers to third party service providers
In accordance with applicable law, we may make certain personal information available to third parties who provide services to us, including data storage, shared services platform providers, IT developers and support providers and providers of hosting services in relation to our online services. Additionally third parties who provide support and advice including in relation to legal, financial/audit, management consultancy, insurance, health and safety, security and reporting issues, can also access personal data.

Our webpage provides links to other websites. We do not control, and are not responsible for, the content or practices of these other websites. Our provision of such links does not constitute our endorsement of these other websites, their content, their owners, or their practices. This Privacy Policy does not apply to these other websites, which are subject to any privacy and other policies they may have.
10 – Updates to the Privacy Policy
We will update our Privacy Statement whenever necessary. Unless, and until, you object in writing by contacting us at info.frct@azores.gov.pt, all changes will apply to the existing information about you that the All-Atlantic2021 project through FRCT already holds, and the personal information collected from the effective date of the revised Privacy Statement. Your use of our portal following the effective date of any revision will constitute your acceptance of the terms of the updated Privacy Statement.
